Your calendar is an excellent memory aid. It is not a timesheet. Use it to prompt review, then decide what actually belongs on the invoice.

Choose the right role for a calendar

Consultants often lose billable time because the day is already represented in the calendar, so it feels recorded when it is not. A calendar-assisted workflow closes that gap by surfacing likely client sessions for review. It should not silently convert every appointment into a charge.

Start with narrow filters

Monitor only calendars that contain client work. Begin with meetings that have other attendees, then limit suggestions to the hours you normally work. This reduces noise from personal holds, focus time, internal appointments, and reminders.

Keep an explicit approval point

  1. A matching meeting begins and the app offers a tracking prompt.
  2. You decide whether the meeting is relevant, occurred, and belongs to a client project.
  3. You start or save the entry, then review it again before creating an invoice.

Privacy principle: connect Calendar only when the benefit is clear, select the calendars you want monitored, and keep a one-click disconnect option. The user remains responsible for every time entry and invoice.

Scheduling is a separate permission

Creating an event or sending invites changes a client-facing calendar. Treat it as a distinct action from reading events for time-review suggestions. Review the title, time, attendees, and reminder settings before confirming any invitation.
